Work Schedule
School-Year Season: A typical work schedule is Mon-Fri 9:00am-5pm (40 hours/week).
Summer Season: Hours increase during the busy summer season, June 1st through Labor Day, to 50 hours/week, 7:00am-5:00pm.
Hybrid Work: Work virtually and in-person at our office during the school year. More in-person work can be expected at the start of the position to account for in-person training. The position is fully in-person during the summer season. Our offices are located in Lafayette with easy access from the freeway.

About the Program Director & Human Resource Coordinator Position
The Program Director & Human Resources Coordinator is a year-round position responsible for hiring, supervising staff, and delivering a quality camp program. During the summer this position oversees site management, the program heads, program staff and camp activity areas including waterfront, swimming, and all reservoir camp activity areas. During the school year, this position oversees the recruiting, communication, hiring, onboarding, and training of all staff. In addition, this person oversees program development, planning, and execution of all camp activities and special events. Roughing It as an organization is fast paced, so there are times when this position will be assigned projects and responsibilities in areas outside its core responsibilities. There are specific performance objectives for staff and camper recruitment upon which an annual performance bonus is based. The Program Director & HR Coordinator position is supervised by the Camp Owner/Directors and collaborates with all year-round and summer staff.
Required Qualifications
- College or university degree.
- Minimum of 21 years of age.
- Has taught recreational/camp activities to children for at least two months as a camp counselor, teacher, or program instructor.
- Minimum of two references who can validate both camp and teaching skills.
- California driver’s license, clean driving record, and ability to drive for camp.
- Has current certifications for or can obtain by June 1st:
- ARC CPR and First Aid
- ARC Lifeguard
- Wilderness First Responder (By 2nd Year)
- Successfully complete a background check (including LiveScan – FingerPrint scanning).
Highly Desired Qualifications
- Previous experience as a staff member at Roughing It
- Has been an administrator or program head of a children’s camp or recreation/school program.
- Experience supervising, supporting, and evaluating camp staff.
- Leadership and management experience with youth and adults.
Computer Literacy
This position requires a strong knowledge of Windows and online based programs and the ability to learn new ones. Programs used in our office include:

The Program Director & HR Coordinator is responsible to the Camp Owner/Directors.
Responsibilities
Summer Operations:
- Supervises all camp program areas and ensures all activities are run in a safe and fun manner according to Roughing It’s procedures.
- Supervises all program staff and ensures they follow Roughing It policies and procedures, including personnel policies, dress code, safety policies, and HRI (Heat Related Illness) policies.
- Oversees camp schedule and ensures all staff follow the camp schedule.
- Oversees activity programming meets key objectives for engagement and skill development appropriate for camper group levels (PreK to 10th grade).
- Oversees end-of-session camper evaluations/awards and provides support to program staff to complete high-quality camper evaluations that are personalized to each camper.
- Oversees and manage performance evaluations for all staff.
- Provides performance evaluations for program heads and assistant heads.
- Tracks staff absences and plans for coverage with camp administrators. Coordinates with the payroll administrator to ensure all absences are accurately accounted for and staff are correctly paid.
- Acts as a substitute program head or counselor as needed.
- Continually collaborates with all camp administrators (Head Counselor, Unit Leaders, Transportation Coordinator).
- Ensures program heads conduct weekly staff and safety meetings.
- Acts as a liaison between the camp directors and the program heads and staff.
- Plans, organizes, and supervises the schedule for special days, including: Open Houses, Sample Camp, 4th July Family Picnic, Overnights, Parents Closing Circle, Parents Visiting Day, Staff Events, Staff End-Of-Summer Party.
- Plans and executes special events and programs (on-site and off-site trips if scheduled).
- Organizes and supervises summer site setup and takedown at RI sites (Reservoir, Pool, Training Center, etc) and ensures all staff are oriented to all policies involving site setup/takedown.
- Supervises special projects related to Roughing It facility and site improvements.
Staff Training:
- Organizes and runs admin training (usually Memorial Day weekend). Ensures program heads are trained and prepared for staff training week.
- Organizes and runs staff training (the week before start of camp).
- Organizes staff communication for in-service training and camp notifications.
- Ensures all staff have complete required online and in-person training prior to the start of work.
- Coordinates hiring and make-up training for staff hired during the summer (late hires)
- Organizes and runs summer staff meetings every other Tuesday, 7:00-9:00pm.
Year-Round Operations:
- Supervises special projects in areas of program development, facility and site improvements.
- Overseas staff recruitment, hiring, training, and onboarding for all summer and year-round positions.
- Plans and conducts all staff trainings and special events
Summer Staff Rehire:
- Communicates with current and alumni staff, builds relationships, and tracks return status.
- Plans staff appreciation activities and special events
- Evaluates and provides recommendations for rehiring of summer staff.
- Evaluates and provides recommendations to promote staff to administrative positions.
- Organizes job offers and send out offer letters to staff.
- Organizes annual staff mailings
New Staff Recruitment:
- Recruits top quality applicants.
- Posts, maintains, and tracks job listings and advertisements.
- Coordinates staff referral and alumni programs
- Creates staff recruitment media and email newsletters.
- Establishes contact with colleges and high schools to recruit staff.
Staff Hiring and Onboarding:
- Oversees the hiring and onboarding process.
- Evaluates applications and selects top candidates to interview and hire.
- Maintains and updates staff databases for applicants and hired staff.
- Sends follow-up communication with applicants and hired staff.
- Schedules interviews and sends out reference checks.
- Assists with staff interviews and selection process
- Sends job offers and employment forms once staff are hired
- Coordinates and tracks staff onboarding, training, and orientations.
- Performs audits and ensures all employment forms are completed and on file.
- Monitors and ensures all staff are certified for all job requirements.
General Office Support:
All year-round staff assist in general support duties to help our office run smoothly and make camp an exceptional experience for our families.
- Customer service: servicing camper families and prospective customers including daily communication (phone and email).
- Serves as camp receptionist and the friendly routing of all telephone communication.
- Answers questions about camp, aids customers with their account, and assists families registering for camp.
- Assists or serves as camp receptionist and the friendly routing of telephone calls.
- Scans, uploads, and organizes files, and online record management.
- General office upkeep: supply ordering, organization/upkeep of facilities.
- Represents Roughing It at open houses and community events.
- Assist sales, marketing, and other areas of the camp organization as needed.
Essential Functions
- Able to assist campers in an emergency (fire, injury, etc.); drive campers and staff; observe loading and unloading of buses; and possess strength and endurance required to maintain constant supervision of campers.
- Can swim with campers across the deep end (12ft) of a pool for 25 meters
- Ability to obtain lifeguard training certification.
- Is able to walk around the Lafayette Reservoir (4 miles)
- Can spend all day (6 hours) outdoors, in the sun, and in close contact to trees, weeds and pollen.
- Can assist and lead waterfront activities: canoeing, rowing, kayaking, and fishing.
- Can be around animals and horses all day (1-8 hours)
- Able to accompany campers to main program areas, lead small and large group activities, supervise campers’ participation in structured and unstructured activities, demonstrate sensitivity to the needs of campers served, interact appropriately with campers in a variety of situations, appropriately model behavior and use positive behavior management techniques. Enthusiasm, sense of humor, patience, and self- control.
- Is able to lift approximately 50 pounds (whether it be equipment or helping lift a child on to buses, horses, etc.) and camp equipment taking to/from camp site.
- Serve a relief counselor, back up program supervisor and bus counselor: covering for program counselors, group counselors and program heads if needed including supervising and leading camper groups, program areas and bus counselor (riding the camp bus in morning or afternoon for route coverage).
Performance Objectives
- Roughing It Day Camp full enrollment by June 1st
- All staff are hired by May 15th
- 60% return rate to Roughing It Day Camp
- 10% of campers matriculate to a 4-week or longer session of Roughing It Day Camp
- All staff complete their full-service commitment as specified in their work agreement
- Roughing It is invited to return to its leased sites
- Roughing It generates a 15% profit after all expenses and 15% pro rata overhead share
Hours and Schedule
The Program Director & HR Coordinator is a salaried employee and is paid for all hours worked. They have a Monday-Friday 40-hour work week during the school year (offseason). During the summer season, they have the following weekly schedule:

The Program Director’s summer schedule also includes the following:
- Staff Meetings: scheduled every other Tuesday 7-9 pm during camp
- 6-Day Staff Training: The week before start of camp (Mon-Sat)
- 3-Day Admin Training: Usually Memorial Day weekend (Sat-Mon)
- Work Saturday prior to the start of Staff Training
- Work Sunday prior to start of camp
